JOB DESCRIPTION:

This is an opportunity for an experienced event planner. The candidate will manage the coordination and execution of event activities (webinars, seminars, user conferences, customer events, trainings, etc). Evaluates and reviews potential events to align with corporate strategic marketing initiatives. Works directly with the UK marketing teams to facilitate Rackspace’s participation and success in all types of external and internal events.

Key Accountabilities

SIZE OF EVENT

Responsible for the management of trade shows and other industry event activities (webinars, seminars, user conferences, customer events, trainings, etc.).

RESEARCH & PLANNING

Evaluates and reviews potential new small to large trade shows and events to align with corporate strategic marketing initiatives and to ensure we are attending the most strategic events to enhance Rackspace ROI.

Works closely with Sales, Marketing, Corporate Communications, Senior Leadership, and other groups to: create overall event plan and message to the market; coordinate procurement of giveaways and collateral; plan additional marketing opportunities and booth activities; identify speakers and coordinate sessions; partner with outside creative agencies; identify and train event staffing; collaborate with partners to enhance Rackspace’s presence; and help create a strategic product focus and theme around Rackspace events.

EVENT EXECUTION

Works collaboratively with other Rackspace supporting teams necessary for the approvals process for the success of the event, such as Senior Leadership, Accounting, Finance, Sourcing, Legal, etc.

Manages event planning logistics including, but not limited to: Researching venues; booking event dates, room blocks, meeting space, and client dinners; registering Rackers and guests; managing guest lists; etc.

Manages and oversees all of the logistics and execution for Rackspace’s involvement with events, including but not limited to: designing booths and materials; working with show management, exhibit management companies and coordinating A/V arrangements, etc.

Researches promotional opportunities, vendors, and marketing materials to develop ideas and implement promotions.

Works with Product Development and Creative/Brand teams to ensure all collateral and other communications accurately reflect the Rackspace brand in both print and online mediums.

PERFORMANCE

Responsible for using Salesforce, Marketo, and other marketing tools to create campaign codes and ensure all leads are placed into the appropriate campaign track post-show.

Partners with Marketing Operations and Finance teams to track ROI on all industry events.

OTHER

Guides managers and Field Sales Rackers on general seminar schedules and locales to assist with finalizing a general plan to ensure complete marketplace coverage.

Develops and trains necessary teams of staff to fulfill event responsibilities onsite, utilizing lead management systems, online collateral portal, and social media tools.

Acts as a consultant to departments in planning and executing smaller events, meetings, dinners, happy hours, sales events, etc.

Functions independently and is responsible for developing, training, on-boarding, and mentoring new hires.

Qualifications

PERSON SPECIFICATION:

  • Corporate/professional event management, marketing, or related experience is required.

  • Previous budget management experience required.

  • Advanced knowledge of event planning, tactics, and management.

  • Ability to manage complex, high-profile, events that involve Senior Leadership and cross several business and product groups.

  • Excellent time management, program management, writing, communication, decision-making, presentation, human relations, and organizational skills. Detail oriented.

  • Ability to successfully work and provide medium to high influence over groups of all sizes, helping lead teams towards a common goal.

  • Ability to communicate technical info and ideas so others will understand.

  • Ability to frequently represent Rackspace, to the outside market, through face-to-face interactions with customers, prospects, partners, and media.

  • Proactively anticipates the needs of the business.

  • Ability to provide excellent customer support.
